Zapier Automation: Automatically Request Reviews After Every Inspection
What This Builds
A fully automated review request system that sends a personalized review request email to every client 24 hours after their inspection report is delivered — without you doing anything. Inspectors who do this consistently collect 2–4 Google reviews per week vs. the industry average of a few per year. 50+ annual reviews makes you the most-reviewed inspector in most markets.
Prerequisites
- Zapier free account at zapier.com (the free plan supports this workflow)
- Spectora, HomeGauge, or ISN account for tracking inspection status
- Gmail or Google Workspace email account
- Your Google Business Review link (get it from Google Business Profile)
- Comfortable using your scheduling software to mark inspections as complete
The Concept
Zapier connects different apps together using triggers and actions. Think of it like an "if this, then that" machine: if your inspection software says a report is delivered, Zapier tells Gmail to send your review request email automatically.
Without Zapier: you remember to send review requests sometimes, usually forget, get maybe 8–10 reviews per year. With Zapier: every client gets a review request exactly 24 hours after report delivery, whether you're on 3 more inspections or asleep. 40–80 reviews per year, on autopilot.
Build It Step by Step
Part 1: Set Up Zapier and Get Your Review Link
1a. Create a Zapier Account Go to zapier.com. Click Sign up free. Use your Google account for easiest setup. You'll land on the Zapier dashboard.
1b. Get Your Google Review Link
Go to google.com/business → sign in → select your business. Click Get more reviews or look for a "Share review form" link. Copy the URL — it looks like: https://g.page/r/[your-business-id]/review
Save this link somewhere easy to access.
1c. Write Your Review Request Email Template Before building the automation, write the email it will send. Here's a template:
Subject: "How did your inspection go? — [Your Name] Home Inspections"
Body:
Hi [client first name],
Thanks again for choosing [Your Business Name] for your inspection at [property address].
I hope the report gave you the confidence to move forward with your purchase. If there's anything you'd like me to clarify, just reply to this email.

Part 2: Create the Zap (the Automation)
2a. Create a New Zap In Zapier, click Create Zap (or the large "+" button). You'll see a builder with a trigger section and an action section.
2b. Set the Trigger — Spectora (or your software) Click the trigger box. Search for your inspection software:
- If you use Spectora: Search "Spectora" → select it → choose the trigger event "Report Delivered" or "Inspection Completed" → connect your Spectora account by following the OAuth prompts
- If you use ISN (Inspection Support Network): Search "ISN" → connect your account → select "Order Status Changed to Completed"
- If your software isn't in Zapier: Use a Google Sheets approach (see Part 3 alternative)
What you should see: Zapier asks you to test the trigger — click Test trigger. It will pull in a recent inspection from your account to confirm the connection works.
2c. Add a Delay Step Click the + button to add a step. Search for Delay by Zapier. Select it. Choose Delay for → set to 1 Day. This ensures the email goes out 24 hours after the report is delivered, not immediately.
2d. Set the Action — Gmail Click the + button after the delay. Search Gmail → select it → choose Send Email. Connect your Gmail account.
Fill in:
- To: Map to the client email field from the Spectora data (click the dropdown → select "Client Email" from the trigger data)
- Subject: "How did your inspection go? — [Your Name] Home Inspections"
- Body: Paste your email template. Where you have "[client first name]" and "[property address]" — click those and map them to the corresponding fields from the trigger data.
2e. Test the Full Zap Click Test step. Zapier will send a test email to your own inbox so you can verify it looks correct. Check:
- Does the client name and address populate correctly?
- Does the Google Review link work?
- Does the email look professional?
Make any adjustments, then click Publish Zap.
What you should see: A green "On" toggle confirming the Zap is live.
Part 3: Alternative — Google Sheets Trigger (if your software isn't in Zapier)
If your inspection software doesn't integrate with Zapier directly:
- Create a Google Sheet with columns: Date, Client Name, Client Email, Property Address, Report Sent (Yes/No)
- After each inspection, add a row and mark Report Sent = Yes
- Set your Zapier trigger to: Google Sheets → "New or Updated Row" → filter to rows where Report Sent = Yes
- Connect the same Gmail action as above
This requires manually updating the sheet, but automates the email sending.
Real Example: Workflow in Action
Setup: Your Zap is live. You do 3 inspections on Tuesday.
Tuesday, 6pm: You finish the last report and mark all three as "Delivered" in Spectora.
Wednesday, 6pm: Your 3 clients each receive your personalized review request email automatically. You're on a Thursday inspection and don't touch a computer.
Wednesday evening: Two clients leave Google reviews.
By end of October: You have 47 new Google reviews (vs. the 5 you had before).
Input: One-time 1–2 hour setup. Output: Consistent reviews every week, every year, automatically.
What to Do When It Breaks
Zap stopped running → Check Zapier's task history (Task History in left sidebar). Errors usually show "Missing required field" — verify your Spectora/Gmail connection is still authorized (reconnect under Zap settings)
Emails going to spam → Check your Gmail domain reputation. If using a professional domain (@yourbusiness.com), ensure SPF/DKIM records are set up with your domain host. Generic Gmail (@gmail.com) has fewer spam issues.
Client name or address not populating → Open the Zap editor → click the Gmail step → re-map the fields. Spectora field names change occasionally — look for updated field names in the dropdown.
Zap sending duplicate emails → Add a filter step: Zapier "Filter" → only continue if "Report Status = Delivered" (not "Completed" and "Delivered" both triggering).
Variations
- Simpler version: Skip the delay — send the review request immediately when the report is marked delivered. Less ideal timing but much simpler to set up.
- Extended version: Add a second Zap that sends a 30-day "how's the new house?" follow-up with a referral ask to the same client.
