What you'll accomplish
By the end of this guide, you'll have ChatGPT configured to convert your raw field notes into professional inspection report paragraphs in about 60 seconds per section — instead of spending 2–3 hours writing every evening. You'll also have a system for saving your best prompts so you can reuse them every day without starting from scratch.
What you'll need
Go to chat.openai.com. Click Sign up and create an account using your email or Google account. You'll be taken to the main chat interface — a text box at the bottom of the screen.
What you should see: A mostly empty screen with "How can I help you today?" and a text box labeled "Message ChatGPT."
Troubleshooting: If you already have an account, just log in — no need to create a new one.
Before you open ChatGPT, find 3–5 paragraphs from your past inspection reports that you're proud of — ones that sound like you, are the right length, and use your preferred terminology. Open a text file and paste them in.
Example of the kind of writing to copy:
"The main electrical panel is a 200-amp service with Square D breakers. At the time of inspection, the panel was in generally serviceable condition, though two double-tapped breakers were noted at circuits 14 and 22. Double-tapping occurs when two wires are connected to a single breaker not rated for multiple conductors — this is a safety concern and should be corrected by a licensed electrician."
You'll paste these into ChatGPT so it learns to match your style.
In the ChatGPT text box, paste this prompt (customize where noted):

Going forward, when I give you raw field notes, convert them into a professional report paragraph in my style. Always include: what was observed, why it matters (safety or maintenance), and a recommended action. If the issue is safety-critical, start with "Safety Concern:". If it's routine maintenance, start with "Maintenance Item:".
Confirm you understand with "Ready."
Press Enter. ChatGPT will say "Ready" or similar.
What you should see: A short acknowledgment that ChatGPT understands the task.
Now paste in a set of your actual field notes from today or a recent inspection. Try this format:

Press Enter and review the output.
What you should see: A polished 3–4 sentence report paragraph that sounds like your writing style and covers all the noted items with appropriate severity and recommendations.
Troubleshooting: If the output is too long or too short, tell ChatGPT: "Make your responses [shorter/longer] — about [X] sentences per finding." It will adjust immediately.
After your next inspection, don't open your report software first. Instead:
Time comparison: Traditional approach: 2–3 hours writing from scratch. With ChatGPT: 20–40 minutes processing notes into polished paragraphs, then another 10–15 minutes for photos and formatting.
At the top of the ChatGPT window, click on the conversation title (it auto-generates something like "Home Inspector Report Help"). Rename it to something clear like "Report Writing — [Your Name]".
Come back to THIS conversation at the start of every work session. ChatGPT on the free tier forgets your instructions between conversations — by returning to the same thread, your style examples stay in context for longer.
For {{tool:ChatGPT.plan}} users: Enable Memory in settings (gear icon → Personalization → Memory). ChatGPT will remember your writing style across all conversations automatically.
Create a text file on your computer called ChatGPT Report Prompts.txt. Save these ready-to-paste prompts:
